Event Coordinator – Save Mount Diablo

This is a full time, non-exempt position that reports to the Development Director. Daily hours and days of the week will vary according to the needs of the department. Weekend and evening work will be required when events are scheduled.

Essential duties and responsibilities include the following. Other duties may be assigned.

  • Focuses on the planning and execution of all Save Mount Diablo events, many of which are outdoors. Events include SMD’s Moonlight on the Mountain gala, Four Days Diablo, Two Days Diablo, and others.
  • In partnership with the development team, develops and monitors event budgets, logistics, and marketing & communication strategies.
  • Collaborates on creation and management of event materials and marketing collateral.
  • Works with Development Director to secure corporate and individual sponsorships for events.
  • Creates and implements strategies for increasing revenue through live and silent auctions, as appropriate, and solicits new and existing vendors to secure in-kind donations.
  • Uses Greater Giving event software to manage the Moonlight on the Mountain event, which includes setting up the event webpage, tracking supporters, managing online and in person auctions, and soliciting gifts.
  • Makes hiring recommendations and supervises event-related vendors as appropriate. Ensures that SMD standards of quality and attention to detail are met.
  • Coordinate and supervise volunteer support for the events including recruitment, training, direction during events and acknowledgement.
  • Is key staff person responsible for the smooth execution of all activities on the day of the event.
  • Provides primary staff support to volunteer event fundraising committees.

Supervisory Responsibilities

No direct SMD staff reports. Significant oversight and direction of SMD volunteers both in the office and on site as related to event production.

The ideal candidate will have the following experience and qualifications:

  • Positive, energetic, and able to navigate time-sensitive situations.
  • Intermediate to advanced computer skills: Word, Excel, Outlook. Experience with Greater Giving and Raiser’s Edge a plus.
  • Experience organizing/supervising volunteers
  • Superior communication skills, verbally and in writing
  • Appreciation of environmental issues
  • Appreciation of outdoor recreational activities
  • Ability to work as part of a team

Education and/or Experience

  • Bachelor’s degree preferred
  • 1-3 years of demonstrated success in a similar nonprofit environment

Essential Requirements

  • Daily access to a motor vehicle or other modes of transportation
  • Possess a valid California driver’s license, current auto insurance, and a clean driving record

Physical Demands

The employee is frequently required to sit. The employee is occasionally required to stand and must occasionally lift and/or move up to 50 pounds. Employee must be able to travel to event sites as well as perform physical work relative to setting up and breaking down events (packing/shipping supplies for off-site events, loading/unloading trucks, moving tables & chairs, etc.) Employee must also be able to hike, occasionally in steep and/or rugged terrain and in inclement weather.
