This is a full time, Monday-Friday, 8am-5pm, non-exempt position that reports to the Finance & Administration Director.

Essential duties and responsibilities include the following. Other duties may be assigned.


  • Processes/posts a variety of accounting transactions such as invoices, payments, and expenses in accordance with department procedures and generally accepted accounting principles.
  • Helps maintain accurate company-wide accounting & analysis of records, including maintenance of vendor files.
  • Checks and verifies accounting data.
  • Assists with:
    • Reconciliation of donor revenue results between accounting and donor platforms.
    • Postings of journal entries.
    • preparation for annual independent audit and resolving audit findings.
    • donation processing.
    • a variety of collaborative & individual projects necessary to meet the overall organization goals and objectives.


    • Administrative support to the Finance & Administration Director and others on the Finance & Administrative team.
    • Serve as backup receptionist for the office by handling and directing incoming phone calls, monitoring main line voicemail, taking messages, greeting, and directing visitors, fielding inquiries over the phone and in person.
    • Assist with handling of incoming mail including distribution and processing of returned mail. Includes opening/distributing invoices to appropriate department, assist with filling out check request forms for management invoices, scanning of documentation to appropriate e-file, document vendor contracts & pertinent record information.
    • Assist, when necessary, with outgoing mail. Receive and distribute packages.
    • Assist with managing office equipment (copy machine & postage machine) by making service calls, helping staff/volunteers use equipment, notifying office of downed machines. Assist with simple troubleshooting of equipment.
    • Assist with general housekeeping and maintain office appearance of kitchen, conference rooms, in-office storage room and common areas.
    • Assist with Record Retention Policy including shredding of appropriate documents & maintenance of offsite files Assist with maintenance of property files.
    • Assist with Year End Inventory tracking.
    • Attend staff meetings.
    • Occasionally attends SMD after hour & weekend special events and programs to provide administrative staff support.
    • Serving as a part of the organization’s donor/volunteer community relations team.


The ideal candidate will have the following experience and qualifications:

  • Minimum of 2 years’ experience in an office environment is desired with bookkeeper experience or BA/BS in accounting (or equivalent); or process of an accounting degree or similar.
  • Pleasant telephone and reception skills.
  • Ability to work in an environment with frequent interruptions.
  • Excellent attention to detail and record keeping skills are necessary.
  • Comfortable using PC, Microsoft Office applications (Word, Excel) and databases.
  • Knowledge of an accounting program desired, such as QuickBooks or MIP accounting platform.
  • Excellent organizational skills, ability to prioritize, and multi-task.
  • Ability to maintain confidentiality.
  • Ability to take initiative and function independently and as part of a team.
  • Ability to work in a fast-paced, creative, and deadline-oriented environment.
  • Appreciation of environmental issues.
  • Appreciation of outdoor recreational activities.

Essential Requirements:

  • Possess valid driver’s license
  • Daily access to a motor vehicle
  • Clean background check

Physical Demands

The employee is frequently required to sit. The employee is occasionally required to stand and must occasionally lift and/or move up to 25 pounds. Employee must be able to run errands and provide occasional physical set-up and breakdown of meetings/events, inside and outside in varying weather circumstances. Employee must also be able to hike, occasionally in steep and/or rugged terrain and in inclement weather.
